A New York City wedding is one of the most demanding events in hospitality. The room is full of people the couple has known their whole lives, the photographer is documenting every glance, the timeline is tight, and the planner has a vision that has to land. Event Staff NYC builds wedding teams to that standard. Our captains, servers, and bartenders come out of the city's top wedding venues, hotel ballrooms, and high-end catering kitchens, which means they already know how a NYC wedding is supposed to feel. They know how to greet a guest the moment they walk in, how to read a head table, and how to keep a 200-person plated dinner moving without anyone noticing the work.
We staff weddings of every format that NYC produces — hotel ballrooms in Midtown, loft weddings in TriBeCa and Williamsburg, brownstone receptions in Park Slope and the West Village, country-club weddings on Staten Island and in Riverdale, banquet-hall weddings in Queens and the Bronx, and tented backyard weddings across the metro. Our typical wedding team is built around your guest count and format: roughly one bartender per 30 guests, one server per 25 guests for plated service or per 30 for buffet, one captain for every 8 servers, a day-of coordinator if you want a single point of contact during the run-of-show, and security on request. Every staff member arrives in standard black attire, with black-tie or branded uniform options available with notice.
Behind the people on the floor is a setup most wedding clients never have to think about: every team member is W-2 employed under our payroll, background-checked, and reference-verified. We carry liability insurance and workers' compensation on every event, and we coordinate directly with the couple's planner, caterer, and venue on load-in, run-of-show, and breakdown. For weddings booked through our event-brief intake we walk through your day with you, build the staffing plan, confirm the team, and in most cases hold a brief sync with the lead captain a few days before the event so nothing is improvised on the day. Send us your date and we will tell you within an hour whether we can cover it and what the team will cost.

Wedding event staffing FAQs
How far in advance should I book wedding staff?
Book 8 to 12 weeks ahead for peak season weekends (May to October, plus holiday-week dates). We routinely fill 2 to 4 week requests when our bench has capacity, but the most experienced wedding leads tend to be the first to book up.
Do you coordinate with my wedding planner and caterer?
Yes. Our captains and day-of coordinators sync directly with your planner, caterer, and venue on the run-of-show, load-in window, and breakdown plan. Most weddings include a short pre-event call with the lead captain.
How many staff do I need for a 150-guest NYC wedding?
A typical 150-guest plated wedding runs about 5 to 6 bartenders, 6 servers, 1 captain, and a day-of coordinator. Buffet and stationed-food formats need fewer servers. We will build the exact plan around your venue and timeline.
What do wedding staff wear?
Standard attire is all black — black pants and a black button-down. Black-tie attire and white-tux service are available with notice. Branded or matching uniforms can be arranged for editorial-style weddings.
Can you staff a wedding outside Manhattan or in another borough?
Yes. We staff weddings across all five boroughs, Long Island, Westchester, Northern New Jersey, and the Connecticut shoreline. Travel time is built into the staffing plan so the team arrives ready to work.
We staff every other type of NYC event
